Work Order Procedure (also called Variation Order)

A. Overall  WORK Order Procedure

Introduction

The WORK Order may be based on the following pricing methods:
• Negotiated lump sums based upon a mutually agreed scope of WORK
• Unit prices set forth in SUBCONTRACT
• Negotiated unit prices not established in this SUBCONTRACT

Procedure in preparing WORK Orders 

1. The CONSTRUCTION DEPARTMENT, in coordination with the CONTROL DEPARTMENT for contractual matters and pricing methods, shall identify the WORKS and prepare the WORK ORDER accordingly. The reason for the WORK ORDER shall be clearly explained by CONSTRUCTION DEPARTMENT.

CONSTRUCTION DEPARTMENT must request SUBCONTRACTOR to submit their proposal with all relevant backup data, e.g. calculation sheet, bill of quantity, drawings, sketches, etc.

After which, the CONSTRUCTION DEPARTMENT will submit the WORK ORDER
 to CONTROL DEPARTMENT.

2. CONTROL DEPARTMENT will check the WORK ORDER and ensure that all backup data are attached. The WORK ORDER reference number would be affixed by CONTROL DEPARTMENT if there is no error in the WORK ORDER.

In case there is any error in the WORK ORDER, CONTROL DEPARTMENT will return it to the originator of the CONSTRUCTION DEPARTMENT. Once the errors are corrected, the CONSTRUCTION will resubmit the WORK ORDER to CONTROL DEPARTMENT.


3. The WORK ORDER will be approved by the Field Control Manager and Site Manager.

4. After approval from Site Manager, CONSTRUCTION DEPARTMENT will issue the WORK ORDER to the SUBCONTRACTOR. The SUBCONTRACTOR and the CONTROL DEPARTMENT will receive one full set copy of the WORK ORDER, and the original will be kept by CONSTRUCTION DEPARTMENT.

All WORK ORDERS are filed in its original SUBCONTRACT AGREEMENT.

5. SUBCONTRACTOR will start execution of the WORK ORDER.

6.  In case of Agreed Unit Price, Subcontract Unit price excepted Negotiated Lump Sum,
 CONSTRUCTION DEPARTMENT must fix the final quantity, cost and take the Signature from SUBCONTRACTOR. Fill up the Work order finally and submit Final WORK ORDER to CONTROL DEPARTMENT

7. The Final WORK ORDER will be approved by the Field Control Manager and Site Manager In case there are no errors anymore.

After approval from Site Manager, CONSTRUCTION DEPARTMENT will issue the WORK ORDER to the SUBCONTRACTOR. The SUBCONTRACTOR and the CONTROL DEPARTMENT will receive one full set copy of the Final WORK ORDER, and the original will be kept by CONTROL DEPARTMENT
